  • Overview

    The Cuyahoga County Board of Developmental Disabilities (CCBDD) is seeking an Intake and Eligibility Specialist to serve as the initial intake/eligibility contact for callers.  This position will also serve as navigator through the intake and eligibility process, assuring the completion of entire process in a timely manner. In order to serve the many families in northeast Ohio who speak only Spanish, it is our preference to find an Intake Specialist who is fluent in both English and Spanish.  The preferred applicant would be able to communicate in both languages verbally and in writing.  Therefore, in order to meet this specific need, it is our preference that the candidate be bilingual  However, we will review and consider all applicants. The nature of work for this position will include, but is not limited to the following: 

    • As the initial point of contact to Board services and eligibility, responds promptly to walk-in referrals or calls from parents, school districts, internal staff, community agencies and other referral sources, in a pleasant and efficient manner. 
    • Assesses the caller’s requests and links to Board resources or other agencies. 
    • Recognizes crisis situations or major unusual incidence and act in accordance with established practices. 
    • Initiates intake registration for Board services, explaining the eligibility process for the caller. Manages an intake caseload, electronically tracking status, communicating by phone and in writing with applicants and CCBDD staff involved in the eligibility process, monitors compliance with external DoDD eligibility time frames, and schedules appointments for administration of the eligibility instrument. 
    • Informs applicant in writing of the outcome of their eligibility determination and next steps in the process of getting services.   If deemed not eligible, informs applicant of due process rights. 
    • Creates, organizes and maintains data systems to efficiently manage and monitor the applicant’s data in the Client Information Data System (Gatekeeper) and the DoDD databases.  Creates individual electronic records and On Base records according to procedure.  
    • Assists with developing and implementing policies and procedures which will effectively manage the flow of the intake and eligibility process throughout CCBDD.  
    • Designs and creates reports of eligibility data for the Manager of Intake and  Eligibility.   
    • Conducts presentations regarding the intake and eligibility process to various groups upon request. 
    • Attends staff meetings and in service trainings, and performs other job duties as may be necessary.  
    • Extensive phone and personal contact with applicants, families, providers, school districts, hospitals, community agencies, CCBDD staff and other state/county agencies. 
    • Bilingual employees will attend C/OEDI assessment meeting and provide interpretation for the Eligibility Support Administrator, and assist with the translation of intake documents into the native language


    • The preferred candidate will be fluent in both English and Spanish.
    • High school diploma required.
    • Three years' computer applications experience, including word processing, database maintenance and data management.
    • Three years’ experience working in social services or DD agency.
    • At least two years' experience working in a Call Center or as a receptionist preferred.
